THE USEFUL TAKEAWAY
Separate identity, factual accuracy, and recommendation context when reviewing an AI answer. Save the evidence and investigate likely sources before choosing a fix.
Use the AI observation log to save questions, responses, and sources.

Begin with a small question set
Ask a few questions that reflect real customer needs. Include a branded question about what your business does, an unbranded question about a relevant service and location, and a comparison question if customers genuinely make that comparison. Keep the exact wording and save the complete answers and any citations.
Record the date, product, available model or search settings, language, and location where known. One answer is a snapshot, not a reliable ranking. Responses can change between sessions or because the product, sources, and context change.
Check the business identity
First ask whether the response describes your business or another company with a similar name. Look for the website, service area, and other distinguishing details. If the identity is unclear, mark it uncertain rather than counting the response as a successful mention or a definite error.
Compare the information you control: the homepage, about page, service pages, and important profiles. Correct outdated names, locations, and descriptions where you have authority. A consistent description makes the business easier for people to identify; it does not force an assistant to choose a particular source.
Triage matrix: symptom to next action
Use these as diagnostic possibilities, not as a claim about how a model made its answer.
- Wrong company: compare names, URLs, locations, and source links; mark the observation uncertain if identity cannot be resolved.
- Correct company, wrong fact: inspect cited pages and your own verified records; request a correction where you control or can report the source.
- Correct description, no shortlist appearance: check whether the prompt matches the offering and audience. Review relevant pages and independent evidence without assuming one missing mention has a technical cause.
- No citations: save the full response and note the product and settings. A missing link does not reveal which information the system used.
Retest with the same prompts and visible settings after a reasonable interval. Record changes in the website and in the product separately. The useful deliverable is a dated case note with the observed statement, supporting evidence, correction owner, and unresolved questions.
Trace a factual error to evidence
If the answer gives an incorrect service, price, qualification, or contact detail, open any cited sources and check what they actually say. Compare them with your current verified records. The answer might summarize a source incorrectly, refer to stale information, or provide no source at all. Do not assume that the first source you find caused the error.
Fix incorrect pages or profiles you control. For a third-party listing, use its correction process if available. Record what you changed and when. Never publish a false fact simply to make it match an AI response.
Interpret missing recommendations carefully
A correct description and an unbranded recommendation are different observations. If your business does not appear in a shortlist, review whether the question matches the service, location, and customer you actually serve. Check that relevant pages are accessible and useful, and look for legitimate, independently verifiable information about your work.
No checklist guarantees inclusion. Search and AI systems may select different sources, and a few prompts are not representative of every customer. Avoid paid schemes that promise a guaranteed recommendation or fabricate reviews and citations.
Repeat the review without overstating results
After an appropriate interval, ask the same questions again in new conversations and document the conditions. Repeat enough observations to see variation; keep the original and follow-up records together. Compare accuracy, mentions, citations, and recommendation context separately.
A correction followed by a better answer is useful to record, but it does not prove that the correction caused the change. Use the observations to choose the next concrete task: update a fact, investigate a source, improve a service explanation, or continue monitoring.
